New Customer Defaults

 

Function

When a new customer is entered in the Accounts Receivable Customer Maintenance task, new customer default information is displayed. This standard sales information, common to the majority of your sales orders and invoices, can be overridden as desired.

 

NOTE: New Customer Defaults in the AR module is for permanent customers, while the New Customer Defaults task in Order/Invoice Processing is designed for temporary customers.

About the Fields

 

To enable edits to the form select  .

 

In the Customer Type field...
Customer Type codes are used in Sales Order and Invoice processing as well as the Sales Analysis module.

  • Enter a valid customer type code.

  • Click Click to select from a list of valid customer type codes.

In the Salesperson Code field...

Salesperson codes are used in Sales Order and Invoice processing as well as the Sales Analysis module.

  • Enter a valid salesperson code.

  • Click Click to select from a list of valid Salesperson discount codes.

In the Terms Code field...

Terms codes are used in Sales Order and Invoice processing, Conversion Invoice Entry, Simple Invoice Entry and Cash Receipts.

  • Enter a valid terms code.

  • Click Click to select from a list of valid terms codes.

In the Freight Terms Code field...

Freight Terms codes are used in Sales Order and Invoice processing as well as the Sales Analysis module.

  • Enter a valid freight terms code.

  • Click Click to select from a list of valid freight terms codes.

In the Territory Code field...

Territory codes are used in Sales Order and Invoice processing as well as the Sales Analysis module. They can also be used for setting a range for creating Customer Statements.

  • Enter a valid territory code.

  • Click Click to select from a list of valid territory codes.

In the Distribution Code field...

Distribution codes are used to determine GL postings during the Accounts Receivable billing and the Sales Order and Invoice entry functions.

  • Enter a valid distribution code.

  • Click Click to select from a list of valid distribution codes.

In the Message Code field...

  • Enter a valid message code.

  • Click Click to select from a list of valid message codes.

In the Customer Pricing Code field...

  • Enter a valid pricing code.

  • Click Click to select from a list of valid pricing codes.

In the Sales Discount Code field...

  • Enter a valid discount code.

  • Click Click to select from a list of valid discount codes.

In the Label Code field...

  • Enter a valid label code used during customer label printing.

In the Tax Code field...

Tax codes are used in Sales Order and Invoice processing.

  • Enter a valid tax code.

  • Click Click to select from a list of valid tax codes.

In the Cycle Code field...

Cycle codes are used to divide the customer base into separate groups. This enables statements to be sent out over the course of the month in a staggered manner, rather than all at the same time.

  • Enter a valid cycle code.

  • Click Click to select from a list of valid cycle codes.

Sales Analysis dropdown selector...

When the Sales Analysis module is installed, this field controls how sales analysis data is collected for this customer. However, the level of sales analysis detail is limited by the settings created in Sales Analysis Parameter Maintenance.

  • Item Level (I) to retain sales analysis by inventory item (most detailed).

  • Product Level (P) to summarize sales analysis on a product code level.

  • No Sales Analysis (N) to not collect sales analysis data.

In the Credit Limit field...

When Credit Management is installed, this field reflects the credit limit placed on new customers in the Credit Manager's Review & Release task in Sales Order/Invoice Processing.

  • Enter the maximum amount of credit as a dollar amount for default new customers.

Credit Hold dropdown selector...

  • Yes (Y) to hold all new customers until approved.

  • No (N) to not hold new customer orders.

  • Exempt (E)...

In the Customer Ship Via field...

This is used by the Sales Order/Invoice Processing module.

  • Enter the default shipping preference for new customers.

In the Fee On Board (FOB) field...

  • Enter a default FOB for new customers.

Finance Charge? checkbox...

Finance charge calculations are made as a separate process, depending on a number of other accounts receivable criteria.

  • Mark the box to retain full invoice detail history.

  • Unmark the box to ignore invoice history.

Statements? checkbox...

Other selection criteria are available at the time the statements are actually printed.

  • Mark the box to have statements created for new customers.

  • Unmark the box to not create statements for new customers.

Retain Detail Invoice History checkbox...

  • Mark the box to retain full invoice detail history.

  • Unmark the box to ignore invoice history.

When done making selections...

  • Click Save button to save the new code.

  • Click Clear Form button to clear the form and begin again.
